| Contract | When we've agreed
on the details and fee for the performance, we will reserve the date for you
and send you a contract and invoice. You will receive two copies, of
which one should be signed and sent back in the supplied self addressed
envelope. More details are required later, like: special song requests, liaison with the events/venue coordinator (we will normally check out the venue for loading/unloading, band space, etc.), running sheet, etc. |
| Deposit | A deposit of 20% is
required to secure the booking. |
| Insurance | We have a liability
insurance covering $ 20.000.000.00. |

PA system and lights |
In most cases we will supply our own PA
system and lights. We have our own 'mngr-sound man', who makes sure
that the volume etc. are just right for the venue and for you. This is
included in our quote. You are welcome to use our (radio-) microphone
for speeches. We can also record these directly onto CD, if you so require.
Our system can also play recorded music before, after or during the breaks.

| Breaks | We will liaise with
you (your MC) and the events coordinator about the breaks the band takes.
Normally the band will play sets of 45-50 minutes and take breaks of 15-20
minutes in between. We will discuss this with the events coordinator,
caterer and MC, so for instance the band can take a break during speeches.
Suitable recorded background music will be played through the PA system. It
would be a good to give the 'mngr-sound man' a copy of the running sheet
beforehand. |
| Liaise with the band | To simplify the
process of co-coordinating breaks, (impromptu-)speeches, formalities,
special requests, etc., it is best to give your MC the job of liaising with
the 'mngr-sound man'. He is very experienced and will make sure that you
don't have to worry about anything. |
| Dancing / Style of music |
We can help you choose the right songs for the appropriate time during the
celebrations; background music while guests are arriving or dining; music
for dancing; and songs with special significance. Ruby is very experienced
in picking the right tempo at the right time. We are able to keep a
dance floor full and cater for young and old. The style of music is
jazz with Latin and funky feels. Ruby could do the odd pop or rock number on
request, but we can recommend other bands that would suit your needs if you
are looking for a pop/rock sound. |
| Performing Time | The particular time
period you've hired the band for is specified in the contract. If you need
to vary the times close to the date of the function, you should let us know
as soon as possible and we would try to accommodate. Any extension of
playing hours may require an extra fee. |
| Payment | The fee for the
band and the conditions of payment is set out in the contract. In
general, payment is due (minus the deposit you've already paid) a fortnight
before the day
of the performance. Unless you've made other arrangements, like a direct
deposit. It is a good idea to give a clearly labeled envelope for the band
to the MC or your events organizer. |
| Power | Unless we advise
you (in case we perform with the big band, or at a very large venue), the
band needs a standard 10 amp power outlet. We will supply all the
necessary leads and power boards. If the function is not at an
established venue, we advise that the band be on a different circuit to
avoid power surges and/or overload. |
| Shelter | Shelter from sun,
rain and wind is essential at outdoor events. |
| Band space | The band can
generally rearrange themselves to adapt to the space that is available.
Depending on the band size you've hired, the ideal space for a four piece
band is about six meters wide and three meters deep. |
| Meals | Depending on the
performance times, a meal could be required for the musicians. If so,
this will be negotiated with you and is part of the contract. Most
established venues will provide a main course for the band as part of their
function packages. |
